1. How we use your information
Email communication
Anyone booking the Heathrow By Invitation service must provide a valid individual email address and contact details. This email address will be used to communicate important information about the service.
Collection of WorldPoints
WorldPoints can be collected when purchasing the Heathrow By Invitation Service. A WorldPoints membership number must be submitted on the booking reservation form for eligibility. For more information on the Worldpoints membership scheme please visit www.worldpoints.com
Changes to these Terms and Conditions
BAA reserves the right to modify these Terms and Conditions at any time at its discretion (acting reasonably). BAA advises that you go to www.heathrow byinvitation.com regularly to check for updates.
Statutory rights
Nothing in these Terms and conditions affects your statutory rights.
Law and jurisdiction
These Terms and conditions shall be construed and governed by the laws of England and Wales and the English courts shall have exclusive jurisdiction.
2. The Heathrow By Invitation Service
a. Heathrow By Invitation is a service provided by Heathrow Airport Limited whose registered office is at Compass Centre, Nelson Road Hounslow TW6 2GW (company number: 1991071 (“Heathrow”).
b. The Heathrow By Invitation service provides the following services to accommodate a maximum of six passengers travelling together on the same aircraft, on single departing, arriving or connecting flight at London Heathrow Airport, and includes:
i. Use of Heathrow’s private lounges for the purposes of the passenger requirement of arrival, departure or connecting flights at Heathrow.
ii. Use of the dedicated security lane
iii. Private vehicle transfer to and from the aircraft
3. Making a Booking
a. In booking the Heathrow By Invitation service a contract is formed, on these Terms and Conditions of use, between the named individual or company that makes the booking and Heathrow. All bookings will only be valid upon receipt by the booking party of an email confirmation from Heathrow sent to the address stated on the electronic booking form.
b. A booking for the Heathrow By Invitation service does not grant the booking party or passengers any access to airline benefits (including seat upgrades or excess baggage allowances). All airline flight preferences or special requests must be communicated directly and agreed between the airline and the booking party and passengers.
c. A passenger must have a flight reservation before booking the Heathrow By Invitation service.
d. Booking requests must be made using the electronic form available on this website and submitted via email to enquiries@heathrowbyinvitation.com.
e. Bookings must be made a minimum of 24 hours in advance of the flight time, and are subject to operational capacity availability.
f. Passenger details will be taken and stored at the time of booking, and each passenger, by making a booking, consents to the use of such passenger’s name, address, passport details and travel arrangement details for the purposes of Heathrow providing the Heathrow By Invitation service, and as required to fulfil all relevant security, operational requirements of the Heathrow By Invitation service and border control requirements.
g. In addition, Heathrow may use the information provided on the applicable booking form:
i. for the purposes of informing the passengers of further services provided by Heathrow, unless each passenger notifies Heathrow in writing;
ii. for such purposes as permitted by the passenger as confirmed either on the booking form or as part of the booking process with Heathrow.
h. Inline with airline policy infants over the age of two years will be classified as an adult.
i. Incomplete or inaccurate data at the time of booking may result in bookings being refused or rejected.
j. If any information supplied at the time of booking is incorrect Heathrow reserves the right to refuse access to the Heathrow By Invitation service. Limited changes can be made to bookings inside 24 hours of departure and may incur administration charges.
4. Charges and Payment
a. Payment will be taken by Heathrow in full at the time of booking at the agreed rate.
b. Cancellations within 24 hours of the flight departure or arrival time at Heathrow will incur a 50% cancellation charge. Cancellations within 6 hours of flight arrival or departure at Heathrow and no-shows will incur full charges.
5. Personal Conduct
a. In order to preserve the privacy and confidentiality of other users of the Heathrow By Invitation service, passengers shall conduct themselves in an appropriate manner and should not approach any other users of the Heathrow By Invitation service, or discuss the presence of such users with any third party. Heathrow reserves the right to remove individuals from the lounges in the event of inappropriate conduct.
b. Passengers using the Heathrow By Invitation service shall arrange their own travel insurance.
c. All passengers and luggage must arrive at the airport prior to the specified time given at the time of booking in order to make the flight. Late arrival may result in the airline refusing to accept passengers for the flight and the charge for the Heathrow By Invitation service will not be refundable.
d. Airline baggage restrictions must be adhered to. Any excess baggage charges, including excess baggage payments must be paid in full by the passenger directly to the airline. Heathrow will not enter into disputes between airlines and passengers regarding the transaction between passenger and airline.
e. All security, and customs and immigrations regulations imposed on all air travellers must be fully complied with when using the Heathrow By Invitation service. These can be found on www.heathrow.com.
f. Passengers must comply with any direction or instruction provided by Heathrow personnel or other security personnel while using the Heathrow By Invitation service.
6. Exclusions
a. Official state business takes precedence over all bookings. On the rare occasion when a cancellation is forced as a result of state activities, a full refund will be offered.
b. Airlines may decline to accept passengers via the Heathrow By Invitation service.
c. On rare occasions passengers using the Heathrow By Invitation service may be required to share a private lounge or security lane with other Heathrow By Invitation guests.
d. Heathrow reserves the right to cancel bookings, including without limitation due to operational, safety, capacity or security requirements.
7. General
a. Passengers must use the Heathrow By Invitation service only for lawful purposes and in a manner which does not infringe the rights, or restrict, or inhibit the use and enjoyment of the service by any third party.
b. Heathrow reserves the right to change these terms and conditions at any time, and such terms shall be available at www.heathrowbyinvitation.com
c. Heathrow takes no liability for losses, delays or disruptions incurred as a result of:
i. incorrect information being supplied to Heathrow.
ii. third parties acts or omissions including and without limitation to; airlines (including check-in procedures), security and border control authorities, ground handlers or third party transport arranges by or on behalf of the passenger.
d. All passengers must comply with the airlines terms and conditions at all times.
e. Any complaints or disputes should be addressed in the first instance in writing directly with Heathrow’s Head of the Heathrow By Invitation services.
f. The minimum age for an unaccompanied minor using the service is 16 years.
g. These Terms and Conditions are subject to English law and any dispute shall be subject to the exclusive jurisdiction of the English courts.
8. Booking terms and conditions during The 2012 Games period
a. During the 2012 Games period the ‘Heathrow By Invitation’ service will operate business as usual but is expected to be extremely busy, and it is recommended to book well in advance to secure capacity. The rates will not change from the period prior to the 2012 Games. Payment will be taken in full at the time of booking in line with normal booking policy.
b. Bookings for the Heathrow By Invitation service during the “2012 Games Period” which is 24th July 2012 to the 12th September 2012 (inclusive) will be subject to specific cancellation and amendment terms.
c. Confirmed reservations for ‘Heathrow By Invitation’ service during the 2012 GAMES period will be subject to a 30 day cancellation policy, whereby reservations cancelled within 30 days or less to the date of travel will incur the full charge, with no refund.
d. Provisional passenger details must be provided at the time of booking and passenger details must be confirmed in full no later than 30 days before the date of travel. Failure to provide full details may result in reservations being cancelled without a refund.
e. Amendments to reservations within this period will only be accommodated subject to operational capacity and at the discretion of the Head of VIP services.
f. These terms displace the existing terms, 3(e), 3(i), 3(j) and 4(b), for bookings during the 2012 Games period only.
